JOB DESCRIPTION AND SPECIFICATION: OFFICE ADMINISTRATOR

ABOUT THE ROLE: The Office Administrator will support the senior
managers in the effective running of the Drinkaware office, with
responsibility for managing the finance, HR administration and office
management functions. The successful candidate will be a first point
of contact for enquiries by phone and email, representing Drinkaware
in a positive and professional manner. You will be responsible for the
smooth running of the office, supporting a team of 6/7 people who work
on a hybrid basis. It is essential that this person is process-driven
with a can-do attitude, and is able to work both independently and as
part of a team.
You will also support the CEO in an Executive Assistant capacity,
providing administrative and operational support.

DUTIES / RESPONSIBILITIES
OFFICE MANAGEMENT
* Manage the day to day running of the Drinkaware office including:
* First point of contact for phone/email enquiries from the public
and suppliers.
* Manage all post, suppliers contracts, filing
* Organise meetings, conferences and events as necessary
* Ensure the office environment and procedures meet health and safety
regulation standards
* Hold the role of Health and Safety Officer.
* Maintain and review relevant policies and procedures relating to
building and office management.
* Oversight of Drinkaware resources (booklets, cups, calculators)
and resource management system Salesforce
* Oversight of HR record management and health and safety policy, to
ensure full compliance with legislative obligations
* Provide administrative support to the team as required
FINANCE / COMPLIANCE
* Undertake book-keeping duties and prepare accurate financial
records
* Monitor monthly budgets and assist the team with budget adherence
* Provide financial information for the Board of Directors?
reports as required
* Administer employee PRSA accounts as required, liaising with the
relevant pension companies
* Provide Drinkaware?s accountant and auditor with information as
required, and assist them with the annual audit
* Assist with collation of meeting papers for Members, Board and
Sub-Committee meetings.
* Assist with the annual Charities Regulators Governance Code
compliance record process.
* Assist with all regulatory filings (CRO, CRA etc.).
* Promptly advise the CEO in the event of any material discrepancy
and irregularity
GENERAL
* Contribute to the team?s work planning, budgetary and evaluation
activities as required
* Act in accordance with the objectives and ethos of Drinkaware
* Undertake other duties as may be reasonably required from time to
time
ESSENTIAL EXPERIENCE

* Proficient in Microsoft suite of products (Outlook, Teams, Excel,
PowerPoint, Word)
* Experience using Salesforce
* Minimum three years? experience in a similar role.
* Excellent attention to detail and strong organisational skills
* Must be a team player
LOCATION: Offices of Drinkaware, **Apply on the website** Merrion
Square North, Dublin 2
TERMS: This is a full/part time position of **Apply on the website**
hours per week. A two-year fixed term contract with a six-month
probationary period will be offered to the successful applicant. A
